Job Summary
Assistant Manager, Commercial (Estimation & Invoicing – Yacht Ship Repair) is responsible for supporting the commercial operations of the shipyard, with a primary focus on cost estimation, job costing, invoicing, and commercial control for yacht repair and refit projects. The role ensures accurate pricing, timely invoicing, cost recovery, and adherence to contractual and financial requirements, while coordinating closely with technical, procurement, and project teams.
Key Responsibilities
Estimation & Costing
- Prepare detailed cost estimates for yacht repair, refit, and maintenance projects based on specifications, scope of work, drawings, and site inspections.
- Analyze labor hours, material costs, subcontractor charges, equipment usage, and overheads to develop accurate and competitive quotations.
- Review technical inputs from production, engineering, and project teams to ensure scope completeness and cost accuracy.
- Maintain and update standard costing databases, rate cards, and historical cost records for future reference.
- Assist in commercial evaluations of variations, additional works, and change orders during project execution.
- Support tender preparation, bid submissions, and pricing strategies as required.
Invoicing & Billing
- Prepare and issue progress invoices, milestone invoices, final invoices, and variation invoices in line with contractual terms.
- Ensure invoicing accuracy by reconciling estimates, approved variations, actual costs, and work completion reports.
- Coordinate with project managers to validate work completion and obtain approvals prior to billing.
- Monitor invoice schedules to ensure timely billing and cash flow.
- Support resolution of invoice queries and disputes raised by yacht owners, captains, management companies, or brokers.
Commercial Control & Job Costing
- Track project costs against approved budgets and estimates, identifying variances and potential overruns.
- Prepare cost-to-complete and margin analysis reports for ongoing projects.
- Assist in monitoring profitability of each job and provide early warnings of commercial risks.
- Ensure proper allocation of labor, material, subcontractor, and overhead costs to respective job numbers.
- Support month-end and year-end financial closing activities related to project costing and revenue recognition.
Contract & Documentation Management
- Review commercial terms and conditions of repair contracts, work orders, and service agreements.
- Ensure compliance with agreed payment terms, currency, tax requirements, and contractual obligations.
- Maintain organized records of estimates, contracts, variations, invoices, and supporting documents.
- Assist in preparation of commercial correspondence related to pricing, variations, claims, and settlements.
Coordination & Stakeholder Interaction
- Liaise closely with Project Managers, Technical Superintendents, Production, Procurement, and Finance teams to ensure alignment on scope, costs, and billing.
- Communicate professionally with yacht owners’ representatives, captains, brokers, and management companies on commercial matters.
- Support negotiations on variations, additional works, and final accounts under guidance of the Commercial Manager.
Compliance, Systems & Process Improvement
- Ensure adherence to company commercial procedures, financial controls, and audit requirements.
- Utilize ERP systems, job costing software, and invoicing platforms effectively and accurately.
- Identify opportunities to improve estimating accuracy, invoicing efficiency, and cost control processes.
- Support implementation of best practices in commercial management within the shipyard.

Key Requirements
- Bachelor’s degree in Commerce, Finance, Accounting, Marine Engineering, or Business Administration (or equivalent).
- 5–8 years of relevant experience in shipyard, marine repair, yacht refit, or related engineering industries.
- Prior experience in commercial, estimating, or invoicing roles is essential.
- Familiarity with ERP systems and MS Excel is mandatory
- Strong knowledge of shipyard operations, yacht repair/refit processes, and marine cost structures.
- Proficiency in estimating, job costing, and invoicing for repair and service-based projects.
- Ability to interpret technical specifications, drawings, and work scopes.
- Sound understanding of contracts, variations, and commercial risk management.
- High attention to detail and accuracy.
- Strong analytical and numerical skills.
- Excellent communication and coordination abilities.
- Ability to work under pressure and meet tight deadlines.
- Commercially aware with a problem-solving mindset.
Education
Bachelors in Naval Architect
Diploma in Marine Engineering
