Job Summary
The Purchasing Assistant Manager supports daily procurement activities, ensuring materials, equipment, and services for shipbuilding and repair projects are purchased on time and at the best value. The role works with various departments to understand their needs, communicates with suppliers, prepares purchase orders, and helps resolve any delivery or quality issues. This position also assists in monitoring supplier performance and guiding the purchasing team to ensure smooth operations.
Key Responsibilities
- Support the development and execution of the purchasing strategy for the shipyard, ensuring the procurement of materials, equipment, and services needed for operations
- Build and maintain strong relationships with suppliers, ensuring that they meet or exceed quality, delivery, and cost expectations.
- Evaluate and select suppliers based on their capability to meet shipyard requirements and maintain long-term supplier partnerships.
- Negotiate contracts, terms, and pricing with suppliers to achieve the best value for the shipyard while maintaining quality standards and avoiding supply chain disruptions.
- Coordinate with warehouse and logistics teams to manage the receiving of materials.
- Monitor consumption patterns and forecast material needs based on upcoming projects and maintenance schedules.
- Manage, mentor, and train the purchasing team to ensure they are aligned with the department's goals and best practices.
- Foster a collaborative and proactive environment where the team can improve skills and performance.
- Assist in the preparation and management of the purchasing department budget, ensuring that costs are controlled, and procurement activities stay within budget.
- Continuously identify and implement cost-saving initiatives, improving procurement processes without compromising on quality or timelines.
- Ensure that all purchased materials meet the shipyard's quality standards and comply with relevant regulatory requirements.
- Ensure compliance across all procurement and safety processes.
- Work with internal stakeholders to resolve any quality issues or discrepancies with suppliers.
- Maintain accurate records of all purchasing activities, including purchase orders, contracts, delivery notes, and invoices.
- Prepare regular procurement reports for management that provide insights into procurement activities, supplier performance, and budget status.
- Assist in conducting periodic audits of procurement processes to ensure compliance and identify areas for improvement.
Key Requirements
- The ideal candidate should have at least 5 years of managerial experience in procurement, purchasing, or supply chain management, preferably in a shipyard or industrial environment.
- A bachelor’s degree in supply chain management, Business Administration, Engineering, or a related field is required, with a professional certification (e.g., CIPS) being a plus.
- Strong leadership, negotiation, and communication skills are essential, along with in-depth knowledge of procurement processes, inventory control, and supply chain management.
- Proficiency in Microsoft Office and ERP systems like SAP is necessary.
- The candidate must be fluent in both English and Bahasa Indonesia, have strong organizational skills, and be detail-oriented and results-driven.
- Adaptability and the ability to manage multiple tasks in a fast-paced environment are key to success in this role.
